Provides clerical support to the Housing Community in an efficient manner and in accordance with HUD regulations. Organizes resident newsletter and ensures that all work orders and residents’ service requests are communicated to appropriate staff in a timely manner. Supports the Embrace Living Communities wellness culture that encourages active aging and “living well.”
Essential Duties and Responsibilities (Other Duties May Be Assigned)
Creates a respectful living environment for seniors and physically challenged individuals that is aligned with the mission, vision and values of the organization. Works collaboratively with assigned housing community employees to promote harmonious relations among residents, employees, families and partners.
Receives, posts, and deposits rent payments.
Prepares outgoing mail, including applications to prospective residents. Receives, sorts and routes incoming mail including receives completed applications.
Respond to and track prospective applicant inquiries.
Maintains waiting list. May participate in prospective resident interview process.
Greets and assists guests. Answers incoming phone callers; transfers callers to appropriate extension and/or takes and forwards messages.
Operates office equipment such as personal computer and copier. Prepares and distributes various documents and correspondence.
Assemble, maintain, and follow-up on application, move-in/certification and recertification packets.
Prepares and codes invoices for approval.
Maintains Housing Community files such as vendor, workorder, resident and application files.
Prepares and issues work orders and takes appropriate actions in response to residents’ service requests
Lays out, prints and distributes monthly newsletter to residents.
Provides administrative assistance to the Manager.
Answers residents’ questions and provides information in a respectful, open and welcoming manner. Assists residents in completion of required forms and documents. Provides residents with assistance with other administrative services they may request.
Maintains proper inventories of office supplies.
Works independently and collaborates with teams.
Commits to organizational growth & sustainable building practices, energy efficiency and green product use where prudent.

Associate’s degree (A.A.) or equivalent from two-year college preferred; high school diploma or equivalent required.
At least one year of administrative and clerical experience in a respectful living environment for seniors and physically challenged individuals (preferably federally subsidized housing) required.
