Job Summary

Assists in the management operations of a quality, affordable housing community for seniors and people with disabilities by performing the following duties personally or through supervision and supports the Embrace Living Communities wellness culture that encourages active aging and “living well.”

Essential Duties and Responsibilities (other duties may be assigned)

  • Creates a respectful living environment for seniors and physically challenged individuals that is aligned with the mission, vision, and values of the organization. Works collaboratively with assigned housing community employees to promote harmonious relations among residents, employees, families and partners.
  • Assists Manager with day-to-day operations and implementation of the policies and procedures set forth in the Housing Community Operations Manual. Ensures policies and procedures are completed with accuracy and in compliance with all regulatory guidelines and standards, as well as, local, state, and federal housing laws.
  • Assumes Manager’s responsibilities in her/his absence.
  • Liaison for residents and staff, maintaining a friendly, respectful, approachable demeanor. Assists in the resolutions of residents’ concerns, problems and issues as needed and implements building rules.
  • Answers incoming phone calls; greet and monitor visitors of the management/rental office. Issues parking permits.
  • Collect, record and deposit rent payments.
  • Receives rental and vacancy inquiries; send applications to prospective residents; track and follow up on applications sent to prospects for completion; receive, review and inputs completed applications on the waiting list. Serves as leasing agent for vacant units: Interview and perform preliminary screening of prospective residents and shows property. Obtain move-in and certification documentations and prepare certifications and rental agreements.
  • Oversees move-ins and move-outs and arranges for refurbishing (as needed) by maintenance and/or outside vendors/contractors. Schedules apartment inspections.
  • Assists residents in maintaining rental subsidy by interviewing residents, tracking and collecting required documentation and preparing re-certifications.
  • Programs and issues door lock key cards; resolves door lock problems.
  • Issues repair work orders to Maintenance.
  • Writes, designs, and produces monthly newsletter.
  • Produces various documents and reports; maintains monthly calendar and performs various clerical functions including preparation and maintenance of files, ordering, and maintaining adequate office supplies inventory; performs routine office equipment upkeep.
  • Review accounts payable invoices for accuracy and code, record and submit for Manager’s approval. Forwards approved invoices to corporate Accounting for payment.
  • Commits to organizational growth & sustainable building practices, energy efficiency and green product use where prudent.

Education/Experience

  • Associate Degree (A.A.) from an accredited college or university and 3 years related affordable housing experience preferred; or equivalent combination of education and experience.
  • Requires knowledge of fair housing regulations

Certificates and Licenses

  • Obtain the COS certification and TCS certification (where applicable).  Obtain a Leasing Agent (IL) or Broker (FL) license for LIHTC and/or managed communities.
